 OVERALL SCOPE

Administrative Support for Service Department 

DUTIES:
  • Enter quotes into MAS-200 and assist in the timely completion of proposals.
  • Assist Project Coordinators in maintaining and updating Sage.
  • Receive Purchase Orders from customers and convert quotes into sales orders.
  • Create labor POs and submit to Technical Partners and/or Accounting.
  • Assist with invoicing and other related tasks for completed installations and service calls.
  • Assist the Project Coordinators and Sales Reps with day-to-day operations, including faxing, filing, phone and email support, shipping when necessary, etc.
  • Assist in scheduling and coordinating all aspects of any given project from pre-installation surveys, installations, service calls and customer follow ups as appropriate.
  • Ensure project documents are complete, processed and stored appropriately.
  • Record the minutes of Project Coordinator meetings. 
  • Provide back-up phone support as needed during receptionist absence.
  • Update and revise Service forms as needed.
  • Maintain a professional, courteous and responsive attitude to customers and fellow employees at all times.
  • Other tasks as the manager may assign. 
KNOWLEDGE & SKILLS REQUIRED:
  • Strong organizational skills
  • Ability to set, manage and track multiple priorities and related details
  • Effective oral and written communication skills needed to interface with client and team.
  • Ability to build relationships and work in a team environment
  • Self disciplined and able to work independently
  • Solid math skills
  • Strong user of Microsoft Office products
  • Desired:  Sage and MAS 200 experience  
EDUCATION:

College degree preferred; 1 year job related experience required.
