Customer Service Administrator
OVERALL SCOPE
Administrative Support for Service Department
DUTIES:
- Enter quotes into MAS-200 and assist in the timely completion of proposals.
- Assist Project Coordinators in maintaining and updating Sage.
- Receive Purchase Orders from customers and convert quotes into sales orders.
- Create labor POs and submit to Technical Partners and/or Accounting.
- Assist with invoicing and other related tasks for completed installations and service calls.
- Assist the Project Coordinators and Sales Reps with day-to-day operations, including faxing, filing, phone and email support, shipping when necessary, etc.
- Assist in scheduling and coordinating all aspects of any given project from pre-installation surveys, installations, service calls and customer follow ups as appropriate.
- Ensure project documents are complete, processed and stored appropriately.
- Record the minutes of Project Coordinator meetings.
- Provide back-up phone support as needed during receptionist absence.
- Update and revise Service forms as needed.
- Maintain a professional, courteous and responsive attitude to customers and fellow employees at all times.
- Other tasks as the manager may assign.
KNOWLEDGE & SKILLS REQUIRED:
- Strong organizational skills
- Ability to set, manage and track multiple priorities and related details
- Effective oral and written communication skills needed to interface with client and team.
- Ability to build relationships and work in a team environment
- Self disciplined and able to work independently
- Solid math skills
- Strong user of Microsoft Office products
- Desired: Sage and MAS 200 experience
EDUCATION:
College degree preferred; 1 year job related experience required.
